The Communication Process
Communication
The process by which ideas, thoughts, or information are exchanged between individuals or groups.
Communication Model
Sender
the one who initiates the message.
Message – the content being transmitted
Channel – the medium used (oral, written, digital).
Receiver – the one who receives the message.
Receiver – the one who receives the message.
Feedback – the receiver’s response
Noise – any interference that disrupts the message.
Effective Communication:
Achieved when the message is clear, complete, and understood
Key Concepts
Code – the system of signs or symbols used (language, gestures).
Channel – method of delivery (verbal, non-verbal, written)
Context – the environment or situation in which communication takes place.
Barriers – obstacles (physical, psychological, semantic, or cultural) that hinder communication.
Written Communication
Letters
Used for formal communication with clients, suppliers, or authorities
Recommendation Letters:
Support a person’s experience or behavior.
Memos
Short, direct internal communication
Focused on specific actions or events.
Reports (Executive Summaries):
Summarize findings or results in a clear, structured way.
Aim to inform and support decision-making
Oral Communication
Telephone
Clear voice, appropriate tone, polite greetings
Active listening and concise answers are key.
In Person
Face-to-face interaction using direct communication and eye contact.
Adapt the message depending on the audience
Gestures and Body Language
Can support or contradict the verbal message
Important to control posture, facial expressions, and tone of voice.
Professional Image
Includes appearance, language, behavior, and attitude
Influences credibility and perception in the workplace.
Online Communication
Email
Clear subject line, professional tone, structured format.
Proper grammar and spelling are essential.
Chats
Fast and direct communication.
Use professional language; avoid excessive abbreviations
Newsletters
Informative internal or external bulletins.
Should be engaging, relevant, and visually organized.
Intranet
Internal platform for sharing documents, updates, and tools
Promotes collaboration and communication within the organization.
