Westwood Village Hall
Westwood Village Hall is a venue where customers can book out.
The manager of Westwood Village Hall wants to have a new booking system to contain and manage the bookings. The system should be created using a spreadsheet.
Rates:
Hourly - £42.50 per hour
Full Day - £245 per day
Half Day - 50% of Full Day rate/£122.50
Per month, a customer can make multiple bookings for the venue.
For an extra charge, the customer can book:
Chairs only
Tables only
Use of the kitchen
Tables and chairs
Client Requirements
The manager of WVH has specific requirements about what they want their booking system to include.
Include:
Store details about who has booked it
Follow WVH branding (use the logo and colours)
Easy-to-use HCI
Allow them to record hall bookings and extra items and the booking type (use data validation/drop-down)
Allow the manager to select different customer IDs on the invoice so calculations are automatically updated and can be printed (Mail Merge?)
see the effect on the total income for the hall if the Full Day rate is increased by £25 and the Half Day rate increased by £12.50
Appropriate security measures so only authorised people can access it (password: WVH#26)
Appropriate validation to minimise errors
Spreadsheet that always opens on the home menu
Calculate:
Total number of bookings made in October
Total number of bookings made in October by each customer and for each type of booking
Total income generated from bookings in October (inc. extra items)
Total number of bookings that included extra items in October
Total income generated from extra items in October
Total income generated in October
Total income generated from each customer in October
Output:
Use appropriate charts that are clearly labelled
Invoice for customer 203 in October, include:
a) Date of invoice
b) Customer ID
c) Booking number and date of booking
d) Cost per booking
e) Total cost
Design Tools
Design tools are used to plan the idea of or what the spreadsheet would look like. There are four different types of design tool.
Flow Chart
A flow chart shows the process of how the product will work
Mind Map
There are three different types of mind map, tunnel, library and presentation. These can be used to place down ideas in different sections
Wireframe
A wireframe is similar to a visualisation diagram, although, a wireframe is for planning how a website or mobile app would look like.
Visualisation Diagram
A visualisation diagram is a way of planning how the finished product will look in the end.
Design tools should be specific to what you want to create and detailed enough so that when someone looks at it, they can create the spreadsheet.
The design tools I will use are a mind map and a wireframe. I am using these because a mind map helps me easily understand what I want to do and it also helps me place my ideas and find them fast because of the specific nodes. I am also going to use a wireframe because it is simple but detailed so it will be easily understood but also explain how I want my spreadsheet to look.
My Ideas
In my spreadsheet, I will use many different components as stated in the Client Requirements. One thing the client has asked for is for the spreadsheet to have a main menu that leads the user to the main spreadsheet with all the information.
I will also need to protect my spreadsheet with a password as it is another thing the client has asked for.
In my spreadsheet, it has to follow the branding of Westwood Village Hall. Otherwise, it would not be following the client requirements
I need to use data validation in my spreadsheet so that only valid data will show up. For this, I will be using a drop-down menu.
To calculate the total of the bookings in October, I will need to use an =count as this will tell me how many bookings were made in October
Theming
The theme of the spreadsheet should be based on the theme of WVH as the client has asked. Using the brand theme of the hall will help it be recognisable for whoever wants to book the hall.
Colours
The colours I will be using in my spreadsheet will be colours found in the logo of Westwood Village hall. These colours are beige, light blue and sage green.
Logo
I will be using the logo in my spreadsheet as it is a prominent part of the Westwood Village Hall branding, meaning it is an important requirement to make the spreadsheet recognisable for the brand.
Skills
Mail Merge
I am going to use a mail merge in my spreadsheet because it allows me to send multiple invoices to multiple people in a short time. I will write out my letter on a doc, leaving blanks for where the customer's name and other information will go. I will fill these in with the mail merge
Macro
I will need to use a macro to take me to a page when I click a specific button. e.g. the home button takes you to the home page
Calculations
=sum
=min
=max
=count
I need to use these because I need to calculate how many bookings were made in October in total, by each customer, the bookings that include extra items and the income generated in total, from each customer and from extra items.
Human-Computer Interface
A Human-Computer interface (HCI) is the way the user of the spreadsheet interacts and communicates with it.
The HCI my spreadsheet will have will be a GUI because it is the easiest and simplest to use.
The way the client will have to interact with my spreadsheet is that they will have to use a GUI to access the specific parts, the buttons. They will have to click on these to take them to where they need to go.
Advantages of using the GUI as a HCI for a spreadsheet is that it easy to use and nothing complicated is needed to be remembered for the HCI to be properly interacted with.
