This information can be taken and reviewed by systems analyst and understand their current system and what a new one would require. This process is very time consuming but all of the information is relevant and factual

To understand a system, you need to gather data, either direct or indirect
Direct data is data which is taken from source and not from a third party, it is specific to the project, the downside is that it can be costly
An indirect data source is one which is already available and is being used for a purpose which it is not intended, this is cost effective but it may not provide the exact data needed
Fact Finding
Interview:
A semi structured conversation where the interviewer asks multiple questions to another person to find out about the business' needs in this case

Clarification and follow up, the interviewer will be able to understand through follow up questions
Flexibility, the interviewer can change the questions based off of their knowledge and fill in the gaps in their knowledge

Time Consuming, interviewing many people separately takes up a lot of precious time
Observation
Observation is when you shadow someone for a day, understand their role, what they do, and understand the company
Observation can be extremely informative as you get to see the real side of the company, how it operates and their needs for a software application.
The downside of observation is that it can take a while and people may act differently while being observed.
Questionnaires
Questionnaires are useful for reaching mass audiences, usually completed via a form online nowadays, people can answer it in their own time. Out of all the observation methods, questionnaires requires the least effort and time spent on the task, making it good when you have other things to do
People can lie on questionnaires, making the information unreliable.

DFDs
Data Flow Diagrams are diagrams which show the flow of data within a system. It can be drawn with minimal detail. It provides an overall view of the system

Context diagrams typically don't contain much detail, they are primarily used to get a graphical overview of the system

The purpose of the analysis phase is to ensure that the existing system is fully understood and that the user requirements are agreed prior to proceeding
