How to plan the pre-production process

Task allocation (Projects can be broken down and tasks allocated to specific people
Scheduling (Whole project can be scheduled with specific time frames for different tasks to create the overall project deadline. Can also set milestones which are checkpoints built into tasks to allow you to track performance against deadlines)
Resource allocation (Resources can be allocated to specific tasks quickly and efficiently so that nothing is wasted and any gaps can be swiftly identified)
Report creation/planning (A report function allows communication to happen quickly and reports allow information to be given to different members of the project easily so that they are aware of their role. It allows you to print this into one, easy to read document)
Spreadsheets
Has various cells that can be allocated for task allocation and scheduling. Number of pre-built templates as well as specially created spread sheets available for purchase. Will not contain many of automate features that project management software does but contains functions and features such as colours, cells and auto sums
Project Schedule and working to timescales
Timetable that allocates resources and processes to a project.
Start with final deadline and work backwards, allocating tasks, resources, contingencies and time to various aspects of the project.
Contingency: Back-up resources such as extra time in case something goes wrong
Use of deadlines helps to reduce costs as resources can be booked for specific timescales
Milestones: Smaller checkpoints built into tasks to track performance against a deadline
Can use GANNT charts
Logistics
Gathering all personnel, props, equipment and locations in the right place at the right time.
In planning phase, requirements of project need to be analysed and then resources nee to be allocated.
Failure to do so can cost money.
Health and safety: logistics also involves checking locations by carrying out a recce to check for any issues.
Daily planner/call sheet
Used to ensure that on each day, everyone knows what is happening and what their role is to ensure successful production.

Forms
Individual release form
Personnel working for a media production company will need to sign over the rights to their work so it remains the intellectual property of work/company and not the individual
Consent form
When recording in a location where there are members of the public, permission would be needed from individuals involved, allowing their permission for their image or voice to be used
Location form
Owner of location will need to grant permission that their land or building can be used during media production and that it can appear in production
Staffing
Production of media product require wide range of personnel with many different skills and experiances.
During planning phase, staff with appropriate skills and experiance will need to be found adn employed. Production team will need to allocate roles to people suitably
Size and type of media product will determine not only the skills required but also number of staff needed
Research
Audience research
Information about the proposed target audience is collected and analysed
Helps to ensure the product targets the correct audience
Size and their preferences will be gathered and analysed
Often used primary sources with target/focus grousp
Market research
Research into market sector
Research into similar products on market and competitors to see how successful they are their features and who they aim at
Allows a more targeted approach when developing the media product and less money and time is wasted as any issues can be found at early stage
Production research
Research product itself and collect source materials that can be sued in media product
Establish how viable project is and whether or not it will be successful
