Unit 2: Managing Data
System Utility Tools
Definition: software programs or applications that are designed to optimise performance, operation and maintenance of the computer system
-
For example, a new computer is "slow and sluggish"
Why?
Hardware problems: Insufficient RAM, Fragmented Hard Drive, Outdated Device Drivers, Overheating, Hardware Constraints
Computer system problems: Outdated OS, Excessive System Load, Unnecessary Startup Programs slow down boot process & system resources
-
Storage problems: Limited Storage capacity, Insufficient RAM
How do I fix it?
Use System Utility Tools
Disk clean up tools for storage problems: removes unnecessary files, freeing up space on a computer's hard drive
Anti-malware software for Malware/Virus infection: detect, prevent and remove malware, viruses, unwanted emails (spam) and spyware from a computer system
Disk Fragmentation tools for a Fragmented Hard Drive (Hardware problem): reorganise files that have become fragmented and scattered across different locations for improved efficiency
File compression tools for storage problems: reduce storage space required for files, decrease transfer time and optimise bandwidth usage
Registry Cleaner for storage problems: removes registry keys that are no longer in used keeping the system error free and fast. For example, Registry keys are uninstalled softwares that have once been removed
Practices
Delete unnecessary and temporary files/internet by clearing the cache, cookies, browsing history or files that are unused

Example are disk clean up tools, disk defragmenter, anti-malware software, file compression tools, backup recovery tools and registry cleaners
Cloud computing
Definition: the practice of using a network of remote servers to store, manage and process data rather than a local sever
Purpose: allows and benefits users to access a range of resources, faster and flexible without relying on the need for managing hardware and software
In simple terms, Cloud computing works when Cloud service providers manage the maintenance and infrastructure of a resource shared by users
-
File Optimisation
Definition for print: process of preparing files to be printed efficiently considering factors like resolution, colour profiles and print specifications
Definition for digital or online use: process of preparing files to be used efficiently in digital online environments considering factors like file format, resolution and size
Purpose: ensures optimal display, fast loading times, accurate colour reproduction and quality output in their chosen device
