business interaction - often have to chase the business as not completed correctly
sense of accountability communicated and educated - ensure they understand the importance of completing in a timely manner as the SLA's will be affected
need a willingness to do do what they are required to do - the business / relationship owners
KEY - need the BO's help in that they have to complete the Q/N accurately and timeously to assist TPRM team . If TA not completed timeously/with , affects the SLA to onboard the vendor
correct information needs to be provided - else these is backwards and forwards causing delay.
Quality of info KEY - Education to ensure fully understand what they have to do to be able to support TPRM
requestors need to be fully aware of what is required of them to ensure smooth process without delays - education!
very dependent on SME knowledge in the business - time spent chasing them - applies to TA and VRA - rely heavily on them for guidance, advice, comments and feedback - stress importance of completing form properly and turning up to meetings
do TA's align for global market, if new q/n added, need to ensure weightings are appropriate - it's all COO specific at the moment and straight forward. Need to understand what global markets are - aim to keep it straight forward but really need to understand what the global markets require. We have IT and Cyber but nothing specific to Privacy in assessment
business req - need to understand why we are doing this...TPRM have to ensure they are doing it right and we have to protect fonterra in the long run
VRA's
bigger conversation than TA suitability . eg can the environmental sustainability VRA be utilized globally eg do you have an equivardis report.. is this suitable for GMarket? eg: in finance section we ask them to fill in their z score - would this be applicable to china?
look at each section in the VRA as review and ask if this is for global marker
been live now for 9 months. evident that one size does not fit all. one q/m per category eg General risk questionnaire may not be suitable for a small vendor, only for a larger corporate. Reviews need to happen
Vendor perspective VRA triggered and then TPRM team asked not to send to that person. ie: correct contacts are key so that q/n are sent to the correct people
Pillar SME's are KEY. TPRM rely heavily on them for their expertise in a timley manners. To ensure VRA completed an review done without chasing people
KEY - not for the pack though - Reporting was not good. Selina has built up good reporting. To continue, deep dive to see that we meet the mark in the business. Although quality data will ensure quality and valid reporting
How to manage the exceptions is also key as can save time and effort if there is a process to follow eg: super urgent vendor eg CO2 shortage in NZ and managed a good turnaround time. Business critical process in place to manage these situations.

Vendor feedback: 47 pilot Vendors eg Engineering vendor in the Cyber space. They reached out to us as they were concerned they didn't have right process and protocols on their side. That made them ask for help to bring themselves up the required level
H&S Vendor - TA done, didn't trigger. Name of vendor looked like a contractor. S asked the requester what they would deliver. Vendor would go and fix vats on private farms where Fonterra collect milk. Requester did not realize this. We needed a pre-qual report. When S spoke to requestor, he realized he has several other vendors on our books that need pre-qual reports
