Unit 4. Service Area Equipment
4.1. Computers
It is a machine capable of accepting information, subjecting it to processing and providing results in the desired form. To provide this information it uses a series of instructions called programs (software).
In the hotel area, a computer with its systems and programs by department is essential.
For example
, a hotel front office program is called Fidelio.
This is a special program for hotels with all the information that each department needs to manage orderly and correctly.
Some data contained in this program for reception are:
Customer accounts, accounts payable (credit), number of days to stay, reservation (verification), cash registers, and so on.
4.2. Telephone
It is a set of devices and conductive wires with which speech and all kinds of sounds are transmitted at a distance by the action of electricity.
The switchboard is a telephone exchange from which telephone lines enter and exit.
There are basically 4 types of switches:
Manual
(little used) the operator's intervention is required for any information.
Automatic
The same guest can call other extensions or acquire external lines, without the need to call the operator (a long distance call rate calculator can be added to this switchboard, which measures the time of the operator's intervention).
Computerized
The same guest can make long distance calls from his room, without the need for operator intervention.
Computerized and Unified System
It is the most modern. It is the one where the telephone terminal is connected to the cashier's terminal, reception terminal and housekeeper's terminal. In these switches the guest's account is charged automatically. This last switch can be referred to as a unified system.
Telephone extensions
It is a local line that goes from the small private exchange, which is the switchboard to a location designated by the user in the same hotel.
These can be installed with any of the following five services:
-Extensions with authorized services
-Extensions with semi-authorized service
-Extensions with restricted service
Extensions with semi-restricted service -Extensions with semi-restricted service
Extensions with priority service -Extensions with priority service
Fax
Process of transmitting in facsimile (apparatus) photographs, drawings, maps and graphic material in general, through electric current that travels either by regular telephone lines or by microwave transmitters. It is widely used in press, hotels, hospitals. Radiological centers, meteorology, etcetera.
Modem
Acronym for "Modulator-Demodulator". Device that modulates a telecommunications signal according to the information received by the other signal modulated in a different way. It is used to facilitate information between computers connected by telephone lines that transmit analog signals. They are often used to give computers the ability to communicate with each other over telephone lines.
4.3. Electronic Credit System
At this point is the type or form of credit used by the hotel.
In this case, credit cards are formed as follows:
A card that identifies its owner as the only person entitled to receive credit when purchasing goods or obtaining services from certain establishments.
They are used by many businesses that offer consumer services such as:
shops, hotels, restaurants, airlines, car rental companies, ships, types of credit cards (Visa, Master Card, American Express, Dinners, etc.).
4.4. Stationery
These are the documents and forms used daily by the different departments of the hotel.
Reservations
Room confirmation, rebooking, cancelled reservation, weekly occupancy forecast, staff attendance report.
Reception
Registration card, invoice, welcome letter, telephone message, warehouse requisition, courtesy requisition, guest complaint control, memos, safe deposit box, cash voucher, prepayment receipt, miscellaneous charge, cashier's deposit.
Phone
Long distance call ballot, wake-up call form, staff attendance report, daily official call report.
Buttons
Bell captain's report, bellman's report, doorman's report, valet parking vouchers, luggage storage tags, guest receipt.
Housekeeper
Housekeeper report, chambermaid report, discrepancy report, room inspection, urgent repair order, attendance list, requisition to warehouse, tags for forgotten targets.
Laundry
Guest laundry and dry cleaning list, laundry charge, dry cleaning charge, laundry control, daily laundry production report, laundry receipt and delivery control, uniform laundering.
Security
Warehouse requisition, overtime authorization, attendance list, employee checkout passes, package checkout pass.
