Unit 2. The Tasks
Fixed Tasks, Functions and Positions
When we say that someone holds a particular position, we are summarizing the set of functions he or she performs. By naming one of his or her functions, we are summarizing a group of tasks that person performs.

Fixed tasks, whatever they are called, are usually defined in a document known as a job description.
Secretary to the Manager
Functions:
-Assist the Manager
-Manage the Manager's commitments, appointments and agenda.
-Facilitate the Manager's attention to priority issues for the company.
Daily Tasks:
-Keep Manager's commitments and appointments up to date.
- Review and replenish materials needed at the Manager's office and desk.
Weekly Tasks:
-Request from the General Services department the necessary material for the Manager's office.

Team Tasks
When working in a team, it is important to keep in mind the tasks of the whole. All team members are actually responsible for them, because they are all part of the team. Some have more responsibility for some tasks than others, because they have been specifically assigned to them. However, if something goes wrong, it is the team and all its members that will go wrong.
The list of tasks for which our team is responsible can and should be divided among the team members. They are all on the team for a reason.
When we work in a team (department, committee, management, direction, etc.) we have other people with whom we will collaborate to carry out the tasks ahead.
An example of this is the subjects. Even though they are given by the same educator, each one has a different name and a different schedule. This way the educator and the class concentrate on that one small task (science, math, etc.), instead of (trying to) cover all the material together. Imagine studying all subjects at once - what a waste of time, we wouldn't learn anything!

Task Specification
Tasks must be well specified in order to be fully accomplished. People need to know what is expected of them in order to fulfill it. A job description helps a lot to have a clear idea of what an employee (collaborator) has to do. But it is possible and necessary to specify things further.
You can assign tasks following this scheme through e-mails, dashboards, internal messages, and so on. The important thing is to make everything clear.
