1 Before the Visit
1.1 Preparation & Coordination
Stay updated via IBEN Library, Engage communities, and attend optional Q&A sessions.
Review IB documents: Guide to Programme Evaluation, self-study questionnaire, previous reports, preliminary review, and action plan.
Ensure access to IB Concierge and familiarity with report tools.
1.2 Communication & Agenda Setting
Meet or email the IBWS Manager to review school context and confirm expectations.
Work with the PL to prepare key questions, focus areas, and refine discussions based on school documentation.
Confirm and share the visit agenda, including classroom visits and digital access.
Connect with the evaluation team (PL, Team Chair) to ensure alignment on roles.
1.3 Logistics
For On-Site Visits
Follow Global Visit Event Guide, arrange travel, and attend the pre-visit evaluation team meeting the night before.
Check visa, dress code, security, and dietary needs; confirm details with the PL and the school.
For Remote Visits
Request videos of school facilities and share a team introduction (video, bios, or photos).
Schedule a pre-visit team meeting to align roles and focus areas.
2 During the Visit
2.1 Professional Conduct & Engagement
Focus on strengths and growth areas using an appreciative inquiry approach.
Model IB Learner Profile values and maintain a supportive, reflective approach.
Work collaboratively with the PL and school leadership, ensuring open discussions.
2.2 Meetings & Observations
Conduct classroom visits and ensure findings align with IB PSP.
Adjust question sets as needed and keep findings consistent.
Hold daily team meetings to consolidate insights and refine reporting.
2.3 Final Discussions
Address concerns with the Head of School if needed.
Lead daily reflections with the team to align findings.
Summarise key strengths and areas for growth in the final school leadership meeting.
Serve as the evaluation team spokesperson in the final school community meeting.
3 After the Visit
3.1 Finalizing the Report
Submit the final report to the IBWS Manager or Team Chair, ensuring it is complete and accurate.
Work with the PL to ensure clarity, consistency, and alignment with IB standards.
Export the report from IB Concierge (Export DOCX) and verify all edits.
3.2 Reflection & Continuous Improvement
Review the evaluation process for improvements.
Provide feedback on best practices and engage in IBEN professional learning.
