Indexing
Concept
process of determining the filing segment or name which is to be stored or the placing or listing of items in an order that follows a particular system.
Filling segment
If the wrong name is selected, much time will be wasted trying to locate the record when it is eventually requested.
Careful, accurate indexing is the most exacting step in the storage procedure.
Necessary for quick retrieval, the indexing step is extremely important.

In an alphabetic arrangement, the selection of the right name by which to store (filing segment) means that record will be found quickly when it is needed.

Coding

Paper records, coding is marking a record to indicate the filing segment (name, number or subject) by which it is to be
stored and indicating the indexing units.
Place diagonals ( / ) between the parts of the filing segment, underline the key unit, and then number each succeeding unit, which you have mentally identified in the indexing process.
Cross-referring
Shows the name in a form other than that used on the original record and indicates the storage location of the original record.
Both the filing segment used to determine the storage location for the record & the cross-reference notation are coded on the document
