Merchandise other than Soda/Snack Vending will be broken back to the bulk storeroom

For CVNs, the Sales Officer must conduct weekly unannounced spot inventories of

of stock in bulk storerooms and retail outlets
Gains and Losses will be posted after the Sales-O investigates and the inventory has been confirmed
Any inventory discrepancy report will be generated and filed with the inventory count report in RK B28 file
The dollar value will be posted to the NC 153 line B14
Inventory Teams
One Count Team is Required
Sales-O (can be delegated) & One other enlisted person
Scanner/Recorder
Counter
RK cannot be assigned to a count team
Multiple Teams
Used for operations with many outlets
Number of teams determined by Sales Officer
Each team is required to have one E5 or above
Sales Officer is Inventory Supervisor
Inventory Procedures
An Inventory Count Sheet will be generated for each sales outlet and each bulk storeroom
Printed in stock number order NOT stock arranged order
Corrections will be made in ink and both individuals will initial the correction
The RK will manually enter the quantities into ROM 3
(non electronic POS)NON-EPOS Outlets
Stock broken out is considered “sold” merchandise
End of Month/Accounting Period Inventories will be conducted to determine how much stock remains
The difference between what is broken out and what remains is balanced against the total cash collected
ROM 3 will report sales, compute the cost of sales, and report any financial differences
Credit Memorandums/Cash Refunds
ROM does not subtract quantities from Stock Records until the Credit Memorandum or Cash Refund is received from the vendor
All outstanding credit memorandums and cash refunds are filed in WF4
They should be inventoried as part of the bulk storeroom
After Inv Action
An Inventory Discrepancy Report will be generated after an inventory
The Sales-O will designate a two person team to verify any discrepancies
Inventory Discrepancy Reports will be generated after each series of corrections are made
For Non-EPOS outlets, a Sales Report will be generated to determine profits and losses
Sales Officer determines that an “Accurate Inventory Count” has been taken
inventory will be confirmed
Losses and Gains will post to Line B14 of NC 153
must sign, date and write investigative statement/corrective action taken on each discrepancy report with shortage or overage
Distribution
sign the Inventory Count Reports, Discrepancy Reports, and Sales Reports and
file them in RK B28
manual inventory was conducted, count sheets will also be filed in RK B28
