6.2 Records Retention
- Record retention is established policy & procedure for determining what document, where and how long these documents are to be kept
- A record inventory & analysis conducted to obtain information needed to prepare record retention & destruction schedule

Records Inventory
- Records size—letter, legal, tab/checks,
- Records housing-folders, binders, cassettes
- Records value- vital, important, useful or nonessential

Record series is a group of related records that normally used & filed as unit to determine the record retention period.
Records Values
- Nonessential Records- Not worth keeping
- Useful Records Short-term storage - up to 3 years
- Important Records- Long-term storage 7 to 10 years
- Vital Records -Permanent storage
Records Retention Schedule
- A comprehensive list of records, indicating the length of time records are to be maintained, transferring inactive record to storage, destroying records with short-term value
- Reduces storage costs and increases retrieval efficiency
- Transferring and destroying record at regularly
- Records retention and destruction timetables are based on information contained in records not media itself
6.3 Records Retrieval
- Process of locating and removing a record or file from storage.
- Manual retrieval—removing a record by hand. -
- Electronic retrieval—using a computer to see an electronic record on a screen

6.3.2 Electronic Charge and Follow-up of Records
- Using computer keyboard/barcode scanner, information on requisition can be keyed or scanned into the computer
Using the Computer for Charge-Out and Follow-up Systems
- Identify & track any record from creation or receipt to transfer to inactive storage or destruction
- Track unlimited numbers of records reports such as
-File inventories -File activity
-Records retention periods
-Record destruction dates
Using Barcode Charge-Out and Follow-Up Systems
- Fast accurate gathering & transmitting data to computer
- 4 components barcode: Barcodes, Barcode scanners, Recharger/downloader, Personal computer and software
Barcodes
- Each barcode unique but not contain specific document information
- Record must be entered into the computer then it assigned to particular preprinted barcode label to be affixed
Barcode Scanners
- Or readers, are the barcode data collection devices
- Portable, hand-held, or battery-powered, the barcode scanner passes over the barcodes
- Storing up to 3000 scans before downloading into the computer and recharging if necessary
Recharger/Downloader
- Transfer data from portable, hand-held scanner to computer
- When the scanner is connected to the recharger/downloader, data stored in scanner is downloaded (transmitted) to computer & power batteries in scanner recharged
Personal Computer and Software
- FILE TRACKER displays has record, how long has been charged out and when the due back
6.4 Records Transfer
- Act changing physical custody of records with/without change of legal title.
- Records transferred when no longer used frequently.
- Older records less frequently accessed become inactive.
Transfer Methods
- Perpetual—records continually transferred from active to inactive storage areas
- Periodic—active records transferred at the end stated period time to inactive storage at end of their fiscal year
- One-period—records are transferred at the end of one period of time (6 months or 1year)

- Receiving records in the storage area
Guides and Folders
- Plastic folder stay in active files, & more expensive than manila folders
Equipment
- Inactive storage centers use less expensive storage equipment, usually steel shelving

Transfer Boxes and Labels
- Usually have lift-off or lift-up tops
- Removable tops allow quick access for filing and retrieval records
- The boxes are provided with the labels on one end

6.5.1 What is Records Center
- Record center is a building designed or adapted for the low-cost storage, maintenance and communication of semi current records pending their ultimate disposal

- Departmental Records Center
- Commercial Records Center – Profit private company

-An index of all record in the inactive storage center
- Charge-out and follow-up file
-Is a tickler file that contain form filed by dates that records are due back in the inactive records center
- Destruction date file
-a tickler file containing copies of transmittal forms completed when records are received in a records center.
- Destruction file
-a file containing copies of transmittal forms removed from destruction date file after record destroyed. Forms are filed by department names and destruction dates
