IT Disconnect at Cascade Sustainable Energy - Coggle Diagram
IT Disconnect at Cascade Sustainable Energy
Orientation Problems
Numerous paper documents given to new employees
Orientation staff sometimes lacked current information
Unorganized staff (some staff had to be redirected in Ryan's session)
New hires were tasked with completing online forms for standard new employee paperwork
Poor mix of new employees in the different specialty areas
Problems noted by Maggie
Current system ignored the number of people that could register for an orientation session
System would not cancel a hotel reservation if a new hire cancelled their registration, leaving the company to pay for an empty hotel room
Lack of documentation of current orientation process
Maggie was never given the IT review of options for the orientation system
IT Organization Problems
Ryan did not know what his job really entailed until he met with his boss after he was hired
An external review found that IT "did not have a good understanding of each business areas' strategic priorities and was hindering progress towards corporate goals".
Nick seemed dismissive of this, blaming the consultants for this
Nick did not see the need to follow the consultant's recommendations
As noted by Maggie, it was difficult to find IT employees who worked on the orientation system in the past
After Maggie was in touch with a manager, she would then have to reexplain the orientation system to the IT employee that the manager assigned to Maggie to work on the project (lots of work for Maggie)
Don was dismissive to improving the orientation system saying that the users "just need more training"
Miscommunication of if RFPs were to be considered for an external solution to the orientation process
Orientation Solutions
Internal soultion
ERP System
System was undergoing an upgrade which could take 6-9 months
On top of the system upgrade, it may be another year or two before a new system is created since the orientation process is low priority for IT
Meets most of the requirements for the orientation system
Many requirements are listed as maybe in the evaluation of options created by IT, so it is unclear if all the requirements will be met
ERP vendor advised against using the ERP system to create the orientation system
External Solution
Request for Proposal (vendor solutions)
Would not take much time to create an RFP, unlike the ERP system upgrade and implementation
Maggie is already familiar with some options
Since the orientation system would be a standalone system, a RFP makes the most sense to make the new orientation system
