MEETINGS THAT GET RESULTS
One-on-One Meetings
Should hold these one-hour meetings once a week with each direct report
This agenda is prepared by the team member with a list of discussion items, concerns, or problems that have come up in the team member’s area of responsibility
To ask good questions and listen intently to the answers
Resist giving their knowledge and wisdom from the very first moment
Ask questions instead, starting with, “How is everything going?”
You can ask when your employee presents you with a problem or a dilemma is, “What do you think you should do?”
Schedule the meeting well in advance
Turn off your phone and have your calls held
Sit at a table, corner to corner
Something as simple as offering the employee a cup of coffee or a glass of water before you get started
Meetings for Delegating Assignments
What the starting point do you need to be done?
Select the right person. Match the requirements of the job to the abilities of the person
Explain exactly what you want done—the how, the what, and the why of the task
Ask the other person to feed it back to you in his own words
Set a clear deadline and sub-deadlines on every task
Set a schedule for reporting
Tell them that you are sure that they will do a great job and that you look forward to seeing how everything works out
Meetings Outside the Office
Define the purpose of the meeting in advance with the other person who is setting up the meeting
Pack the necessary materials
Ask when I start an outside meeting is, “Before we start, tell me ideally what you would like us to accomplish in this meeting.”
Wrote out a list of everything you thought that your counterparts in the negotiation would want to accomplish
Wrote out a list of everything that you want to achieve
“If the outcome of this meeting was perfect, what would you like to see accomplished?”
Sit with your back to a wall rather than to the doorway
Sit where you can look straight into the face of the key person with whom you are meeting
Agree on a time length for the meeting: “Let’s agree on a time for us to finish. I estimate that we should be done with this discussion by..."
Bring each item to a conclusion and then move on. Press for closure
Keep good and complete notes in each meeting

Always “over-prepare.”
Go and check out the room personally.
The checklist consists of a written list of every step and requirement to conduct a specific meeting at a specific time
Give some thought to room layout
Do not allow anyone to come in and interrupt during the course of the meeting

External
Commit to a minimum number of refreshments in advance, and then maintain the option to increase the quantities as you get closer to the date of the function
Find out what will be happening next door
How many people will be there? What level of sound can you expect from the adjoining rooms?
Check out the sound system
Make sure there’s enough light for people to take notes and generally be comfortable
Check out the room temperature
