SUBJECT RECORDS MANAGEMENT
-a method of classifying, coding and filing records by subject
Need for subject filing
-an alphabetic system of storing and retrieving records by their subject or topic
-recommended when the range of topics is broad
-example (EXPENSES REPORT MANUFACTURING)
Dictionary Arrangement
-subject folders are arranged behind A to Z guides in correct alphabetical order by specific subject
-should be used when the volume of records is no greater than 2 file drawer
Dictionary file arrangement characteristics
-primary guides label contain letters A to Z in alphabetic order
-subject titles are not subdivided
Encyclopedia Arrangement
-a subject filing arrangement in which records are arranged in alphabetical order
-main division are Primary subject heading, Secondary and the most specific heading is Tertiary
Encyclopedia file arrangement characteristic
-primary guide captions are general subject titles
-secondary guide captions are subdivisions of general subject titles

Subject Code
-write long subject with subdivision in the top right corner of a record
-for one-word subject, the subject code may consist of the first letter of the word and next 2 or 3 consonants in word
Example
-ACC for Accounting
-ADM for Administration
MGT for Management
Advantages of Subject Filing
-subjects are easier to remember than names
-related records are easy to find
-related records are not scattered throughout the files
Disadvantages of Subject Filing
-main subject titles and subdivision may overlap
-users may not remember exact titles
-subject filing is expensive because experienced filers are required
