Type of accommodation – motel or hotel, or some may prefer to make their own
arrangements in particular areas. Never assume – always check.
Number of people travelling
If the travel is to an overseas destination, then you will need to check the state of the
passport of the travellers and whether a Visa is required
Travel today can be organised through the web to a variety of destinations. You are able to organise
accommodation and some sight-seeing excursions as well. If your organisation is a member of the
AA (Automobile Association) then there are booklets and maps available for destinations within NZ
Once the travel arrangements have been made, then accommodation, rental car, sight-seeing, and
extra requirements should also be made. You then type up an itinerary to show the manager where
they are expected to be, at what time, and what they need to take (e.g. Passport, Visa, and Driver’s
licence).
The itinerary shows where they are to stay; what type of rental vehicle has been ordered for them
and what charges they will have to pay while using that vehicle.
The manager should return with all receipts so that you are able to follow up and prepare
documentation for refunds for organisational approved costs, and compare them with the budget
that was set beforehand.
A budget of the travel and accommodation, plus any extra services that may be paid by the
organisation, or costs the individual person will be expected to pay during the travel.
