Unit 17: Document Production
Format text and page layout
Setting the page size:
Select Page Layout in the Page setup section
Click left mouse button on the icon at the bottom right corner of the box to open the Page Setup Window
Select the Paper tab if we want to change the paper size
Setting the Page Orientation:
Remain in the Page Setup window
Select the Margins tab
Find the Orientation section of the window
Click the left mouse button on the landscape icon to change from Portrait or Landscape
Setting the Page Margins:
Stay in the Page Setup window and in the margins tab
Set the bottom, top, left and right Margin to required cm
Click OK
Setting the gutter.
Gutter is needed if the document will be part of a bound book or booklet.
Gutter can be placed to the left or top of the page, depends on what type of binding it's used
Page, section and column break
Page break forces the text onto the start of a new page which leave white space at the end of the previous page. It is specifically used to remove windows and orphans from our document. Even though Word can do this for us
Column break is used to force the text into the top of the next available column which may be on the same page or next page. This is useful for removing widows and orphans
Section break is used to split areas of a document with different layouts. There are two typed of section break, the first one it will force a page break as well as change the layout and the second type is a continuous break which allows different layouts to be in the same page.
Widows and Orphans
Widow is a single line of a text which appears at the top of the next page or column whenever we start a paragraph in a text on one page or column but there is no enough room on the page to get the last line typed in
Orphans is the first line of the paragraph at the bottom of the page column
Page, column, section break
Column break is used to force the text into the top of the next available column
Section break is used to split areas of a document with different layouts. There are two types of it; continuous break and page break

Mail merge
It is created to save the repeated typing of similar documents that are designed to be sent to different people
Mail merge saves time and reduce the number of errors that may occur in editing or retyping the document
