Unit 10: Communication
Email
-
Both devices must have an email application (Gmail, iCloud, etc) which don't need to be the same app connected to the internet connection. The messages can be composed and files attached.
Its advantages are:
- Its all addressed to a person rather than a physical place
- The receiver can collect it using any devices where ever they are as long as there is an internet connection
- Can be sent 24 hours a day, 365 days a year
- It can be sent to one person or several people
- Good for the environment because email doesn't use paper while letter do
While its disadvantages are:
- No internet = Not working
- No guarantee the mail will be read until the user logs on and checks their email
- Could lead to phishing and spam
- People could misunderstand the email if they read it too fast
Things that we need to consider before sending an email:
- Who our audience is (Colleagues, teachers, business partner, etc)
- What their relationship to you is
- What sort of impression your message will give about you
Tips for emailing:
- Before sending our message. Decide if it is alright to be brief or whether it would be more appropriate to send a more professional sounding message
- If we would hesitate to say something to talk to someone face to face, then don't write an email
- We should always use a subject line that indicates what the email is about
- Don't forget to put greetings and signing
- Use the CC box if we want to send a copy of the email to someone. And if you want to send a copy of the email to someone without the recipient, put his/her name in the BCC box
- Be brief and clear in our writing
- Check for the proper use of grammar, spelling, punctuation and capitalization.
General rules that needs to be followed whenever we joined an online discussion groups are:
- No personal abuse
- Act politely when we strongly disagree with the point of view of other(s)
- Don't spam
- Write clearly and remember that whatever you send is public and could be read by anyone within the group
