Project management software
Software
With the software, project management allows for the project to be quickly and efficiently created. This software ranges in prices from free to a pay monthly or yearly subscriptions
Uses
Task Allocation
A project is broken down into tasks and is allocated to specific people on the project
Resource Allocation
Each task will need specific resources. This will allow resources to be quickly allocated so that nothing is wasted
Scheduling
This is where the project can be scheduled into specific time frames around a deadline
Report creation/ Printing
Working within a team to create any project will require good communication. Any problem will need to be reported to the team leader ASAP.
Logistics
Making sure that the right people and resources are at the right place at the right time is vital and very difficult as the larger the production the more complex it will be and therefore the more difficult and important the logistics will be.
In the planning phase the requirements of the project will need to be analysed and the resources need to be allocated where the task will be.

Getting the logistics wrong can cost a lot of time and money.
This is because :
If the project
under runs
then all the equipment and the staff will still need to be paid for even if they aren't being used
If the project
over runs
then there might be extra fees that will be needed to be paid to get the equipment and the staff as they will all have to be hired out for longer which might class which other productions and therefore cost more.
The logistics also include things such as the location, transport, staff, equipment and resources
.
Depending on the media product you are producing will determine the logistics that you will have to consider. Shooting on location will require the movements of a large number of resources.
These include:
Cameras
Lighting
Sound facilities
Costume facilities
Refreshments
Production Schedule
This is a timetable that will allow the allocation of resources and different processes in the project. Working back from the final deadline this document is used throughout the production stage constantly being referred to allowing the production crew to monitor the progress.
Forms
Production of a media product will require a number of different permission, without these legal issues could arise which will cost money and prevent it from being completed. Gaining permission will require certain forms,
these include:
Individual release form
- this is where people working for the media production will have to sign over their rights to their work as part as a contract
Location form
- the location of a location will have to grant permission to allow the media product to be filmed on their land.
Consent form
- when recording a location where people are around, they might need to sign a form allowing them to use their image/ voice e.g. this is common when in schools
Research
Audience research
This is where information about the target audience is collected and analysed so that the product attracts the correct target audience. The information is then used to create the design for the product so that its chance of being successful increases.
Market research
By carrying out this research a more target approach can be made to develop the media product. This in turn means that less time and money would be wasted.
Production research
Once the audience and the market have been researched then research in the product itself needs to be researched. In order to do this they need to:
Collect source material that will be used in the media product
Establish how viable the product is
Determine the locations and resources needed
Working to timescale/production Schedule
All media products have a final deadline in which the the completed product need to be done and handed into the client. To miss this deadline would have serious consequences on the production team. That is why deadlines are put throughout the production in which individual tasks should have to be completed by to reduce going over the deadline and reduce the cost of planning, resources and staff. During this phase the project needs to be monitored to make sure that the deadline is kept. To help monitor this, there is a number of different techniques that could be used,
these include:
Individuals being set targets in which they have to meet, so that the project is kept on time
Both staff, equipment and locations hould be booked in advance to ensure that they are available
Regular meetings with the teams and individuals to ensure that they are on progress.
Regular meeting should be made with the client to ensure that they are happy with the product and to ensure that any modifications shouldn't be made. Doing this throughout means that it is easier than doing it at the end last minute and therefore reducing he risk of the project over running
Staffing
Any production will require a wide range of staff that have different skills the right staff will be found in the planning stages, depending on the size of the media product will determine the number of staff.
Spreadsheets
Another way in which a project can be carried out is by using spreadsheets that have cells allow talks allocation. Pre-built templates will have automated processes.
Daily Planner/ Call Sheet
Once the project has been planned for then daily planner sheets need to be taken place with details that will help the project run smother. This sheet is used to ensure that everyone knows what is happening and what there role is to ensure success
Who carries out the research
Often companies that specialise in research are employed to do this as they are the most cost-effective way of doing it.
