United Way Corporate Challenge
STEP ONE
Determine main goal of this event
Get approval for the proposal
Anticipate the cost for the event
Establish a relationship and a means of communication with United Ways Corporation
Put together a team
Schedule team meetings
Come up with a project proposal
Determine risks
Determine benefits
STEP TWO
Check availability of the venue
Look up prices for the venue
Look into where you can rent equipment (tables, chairs, microphone, speakers)
Look for a comedy act/book comedy act
Marketing team should create:
Social media page
Promoting the event
A call out to businesses and individuals to rent table space
Eventbrite page for ticket sales
Design and print posters
Design and print tickets
Create application forms for potential vendors
Create a style sheet
Communication team should:
Contact potential vendors
Create a mailing list/ Monitor emails
Keep track of the application forms that come in from potential business vendors (first come, first priority based process)
Recruit volunteers
Look for food caterers/book
STEP THREE
Submit application to book venue
Follow up with the businesses that will have vendors at the event
Ensure all equipment has been rented ready to go one week before the event
Continue to sell tickets
Continue to promote the event
Finalize who the comedy act will be and have a cheque all ready to give to them the day of the event
Ensure the food is all ready to go for the event (food trucks)
Ensure there are enough volunteers
Do a run through with the volunteers/training
Design and print shirts for volunteers to wear at the event
Set up tables for the event
Number the tables
Assign each vendor a number
STEP FOUR
Keep up with the applications that come in
Check on ticket sales
Confirm again that there are enough volunteers
Confirm that there will be 200 vendors
Confirm that all vendors are being assigned a number in which table will be theirs for set up
Double check on the comedy act and catering
STEP FIVE
Clean up all tables
Clean up venue
Return all rented equipment
Send thank you letters to all that volunteered and all that had a vendor
