6) SYSTEM CHANGE AND IMPLEMENTATION
6.1 LOCATION
PREPARATION,
COMPUTER AND
SOFTWARE
INSTALLATION
If new system rq replacing the existing computer with more powerful ones, .
site preparation is minimal
If a local area network is to be installed for the first time,
site preparation is major event
New system rq new equipment, furniture and construction of new facilities such as electrical wiring, air conditioning and lighting
*6.2 NEW SYSTEM TEST,
CHOICES AND
STAFF TRAINING
New system rq new skills
Training is the process where the system users are taught to use a system
Training must help the users understand how the computer fits into bigger pitcure of the job
Training focus on what the user needs to do rather than what the system can do.
Training approach
Classtoom training : many users train at the same time, venue and date by the same instructor
One-to-one training : One user works closely with trainer at a time. it is used when the user is important or the user is few
Computer based training : training program delivered via computer either on disks or over internet. costly to developed but inexpensive to deliver
*6.3 SYSTEM
CHANGING
METHOD
2) Direct Cutover
Use of the old system will be terminated as soon as the new system is brought into operation
Incur greatest risk but minimizes the cutover cost if the new system perform to specification
Disadvantage : may allow major problems that can impair actual operations of the company
3) Phased Cutover
Implement new system in pieces or modules
Reduce risk of failure
Disadvantage : this method can extend implementation of the new system
1) Parallel cutover
Running the new system in parallel with the old system until all users are satisfied with the new system results
All transaction process by both systems and results are compared
Any differences will probably indicates the problems in new system
Minimize risk of new system inadequancies
Double the cost during conversion period
6.4 NEW SYSTEM DOCUMENTATION
Advantage
Employees training
Providing system development team with useful info for future assessment
Providing auditors with info for evaluating company's internal control system and structure
To help programmers and system analysts understand the application software and enable them to build or maintain it after the system is installed
Each step and phase produces documents that are essential in understanding how the system is constructed or how it is to be built
User documentation such user training manual and online help system are designed to help users operate the system
6.5 EVALUATING THE
NEW SYSTEM AFTER
IMPLEMENTATION
Post implementation review is necessary to ensure that the new system operates as planned
Purpose : assess the quality of the newly implemented system
Verifies that the new system meets specified rq
Helps improve system development practice for future systems in terms of cost, benefits and time estimate
Post implementation include
-accuracy, completeness, and timeliness of output
-quality and completeness of all documentation
-user satisfaction
-adequate systems control and security measures
-hardware and software effieciency
-accuracy of cost, benefits and time estimate
when conduct post implementation review, can interview management, key end users, observe end users and examine all sources document, printed reports and screen displays
If large no users is needed, questionnaire may be applicable
Post implementation review is done not right after implementation
