Step 10: Prepare for progress meeting
Prepare agenda & attendance register & make copies of previous minutes, project plan, progress reports & risk matrix & issue log
PA needs to take concise, but complete minutes. Make sure to minute all actions & decisions made during the meeting
Minutes must be signed off at the next meeting by the project manager & filed
PM should sign the minutes & the signed copy must be filed in the project file
Step 9: Update Project Plan
Project plan must be updated from the progress received
Changes must be updated immediately after the project progress meeting
Step 12: Prepare deliverable sign off sheets
PA must prepare the deliverable signoff sheets for all the deliverables achieved during that specific week
Project customer, project sponsor, project manager & the relevant sub-project manager must sign these off
Step 13: Update the Risk Matrix
Must be reviewed & updated on a bi-weekly basis
For your records, make sure you keep copies of every risk matrix input
Step 11: Prepare Change controls
PA must update the change control register accordingly
Step 14: Update issue log
Must be reviewed & updated on a bi-weekly basis & a record must be kept
Step 15: Follow up on Action items on the Minutes
PA must follow up with team members on any action items on the minutes
