Project administration process
Step 5: Set up of the Project office
Hard copy filing system must be an exact replica of the soft copy filing system
Create files that are clearly marked
Step 6: Schedule recurring meetings
PA is responsible for scheduling all the project progress meetings & to ensure that the right attendees are invited
Send out an official meeting notification 7 days before meeting
Send out an agenda 7 days before the meeting
Attendance register
Copies of the project plan & the previous Minutes
Copies of the previous progress reports
Risk Matrix
An issue registration form
Issue Log, Action Log & Deliverable sign off sheets
Step 7: Send requests for progress reports
Update project plan with any changes that were agreed to in the meeting
Update the planned plan with percentage complete for the next reporting date
Filter the project plan for the next reporting week
Prepare a progress report for the project
Send progress report to the relevant sub-project managers, requesting them to complete the actual start, estimated finish & actual finish columns for the particular sub-project & the rest of the progress report
Step 8: Progress reports received
PA collates the various sub-projects progress reports
PA must follow up with the sub-project managers to ensure that the progress reports are received 48 hours before the next meeting
PA compiles a consolidated progress report
