Guidelines for Appraisal Feedback/Interview
Appraisal Interview
Preparation (Before)
Prior training on interview
Minimum 1 week of notice
Sufficient time for the interview
Have the employee's job description ready
Gather objective & relevant performance records
Provide a copy of assessment tool to employee
Arrange for a suitable, private location
Conducting the interview (During)
Always focus on the situation over the person itself
Remind them the purpose of the interview
Emphasize on two-way feedback
Focus on areas of strengths first
Always be specific and direct
Focus on actual job behaviour
Provide opportunity for employee to speak
Explore possible ways to close any performance gap
Closing the interview (After)
Summarize the all key issues & actions discussed
Develop an action plan and send copies to relevant parties
Set a timetable for review & follow-up
Ensure that the employee sign the completed appraisal form
Provide the employee with a copy of the completed form
Keep copies of appraisals on file (3-5 years)

Provide opportunity for employee to express their views
Ensure consistent standards are used to evaluate job relevant behaviours
Fair procedures & communication
Open communication through continuous feedback
